Principle 4 : Suitable environment and technology

A well organised meeting environment with appropriate technology, supports focused, efficient discussions.

Meeting environment

  • Set a regular meeting time and place.
  • For in-person meetings, select a room that is a suitable size and layout.
  • Select a location that is easy to access for all participants.

Technology and equipment

  • Ensure adequate audiovisual and videoconferencing technology is available.
  • Use software programs that allow participants to share and view of pathology, imaging and reports simultaneously across sites.
  • Use a database or proformas to share and document agreed recommendations in real time.

Virtual etiquette

  • Adhere to standard videoconferencing etiquette, e.g. remain on mute unless speaking and join the meeting from an appropriate location to maintain meeting confidentiality.
  • Formalise etiquette in the MDT terms of reference.
  • Maintain confidentiality. Do not share videoconferencing links with people not on the attendee list.
  • The MDT coordinator maintains oversight of the virtual attendees.
